Privacy Policy

Hong Kong Dental Association ("HKDA") takes all reasonably practicable precautions to comply with the requirements under the Personal Data (Privacy) Ordinance. HKDA's policy in handling personal data is stated in this Privacy Policy Statement which is accessible by HKDA Members through HKDA's website at https://www.hkda.org.

The kinds of personal data of HKDA Members held by HKDA can be broadly categorized into the following:

  1. Basic Information: Title, Chinese and English names and photo.
  2. Contact Information: Mobile phone numbers, home and office addresses, mailing addresses, home and office telephone numbers, email addresses, facsimile numbers and preferred contact method.
  3. Membership Information: Membership number assigned by HKDA, DCHK (The Dental Council of Hong Kong) number, member class, qualifications, specialty, entrance date, membership payment records and other relevant information including positions held in HKDA in the past and volunteer work history.
  4. MPS Information (where relevant): MPS numbers assigned by Medical Protection Society (MPS)/ Dental Protection Limited (DPL), grade of membership in MPS/ DPL, MPS membership subscription and payment record.
  5. CME/ CPD Programme Information: This kind of information includes but not limited to attendance record and registration record.
  6. EDG Membership: Whether a HKDA Member is member of Estate Dentists Group or not.
  7. Other Records: Other miscellaneous records which include personal data held in minutes and records of meetings; personal data of members of the HKDA Council; personal data collected by HKDA for the purpose of nominations to and/or elections for and/or appointment to and/or performance of duties by HKDA Members for positions in HKDA Council; and/or committees/ task forces; personal data collected by HKDA Secretariat during the performance of its administrative and executive functions; and information of HKDA Members collected for carrying out training, social, recreational and other programmes or activities organized or supported by HKDA.

The main purposes of using the personal data include:

  1. Administration of HKDA membership. Please also refer to the latest version of Personal Information Collection Statement for Subscription for Membership of HKDA and Subscription for Membership of MPS/ DPL through HKDA.
  2. MPS/ DPL membership subscription and administration. Please also refer to the Personal Information Collection Statement for Subscription for Membership of HKDA and Subscription for Membership of MPS/ DPL through HKDA.
  3. CPD or CME/CPD programme administration, including but not limited to registration and attendance records. Please also refer to flyers of CPD or CME/CPD programmes and events.
  4. Offering or advertising to HKDA Members availability of goods, services and facilities for the purpose of attaining its objects set out in its Articles of Association.   5. EDG Membership administration and communication.
  6. Other Records: Other miscellaneous records are kept by HKDA’s Secretariat for the purposes of performing its administrative and executive functions and of giving support and assistance to HKDA Council, committees and working parties of HKDA and the carrying out of training, social, recreational and other programmes or activities organized or supported by HKDA.

Personal Data Access and Correction Requests

HKDA Members have the right to request access to and to request the correction of their personal data. Any data access and/or correction request should be made by sending an email to membership@hkda.org. HKDA reserves the right to charge a reasonable fee for complying with a data access and/or correction request.
